FEPSAC is committed to protecting and respecting your privacy. In an increasingly digital world, security and personal privacy are important facets that also apply to our organization. This privacy notice outlines how we may use, process, and store your personal information to comply with the General Data Protection Regulation (GDPR). Who we are?

We are the European Federation of Sport Psychology (i.e., FEPSAC) registered as an international non-profit organization in Belgium. Our office is seated in Grasmarkt 105/39 (c/o EFPA), Agora Galerij, B-1000 Brussels.

 

What information do we collect?

We collect information for different purposes:

1) Individual membership form:

When completing the individual membership form, we ask you to provide:

Username, first name, last name, , e-mail address, and your main educational background. Further, you have the possibility to provide information regarding your position and your phone number.

2) Application for the FEPSAC Specialist in Applied Sport Psychology (SASP):

When submitting the application for the FEPSAC Specialist in Applied Sport Psychology (SASP), we ask you to provide:

First name, last name, country, postal address, city, postal code, country, e-mail address, academic degrees & courses, log of applied practice, and other documents that relevant to support your application.

3) Registration in the list of experts (SASP certified):

FEPSAC specialists in applied sport psychology may register on our “list of experts” on our website. Here we ask you to provide:

First name, last name, gender, country, city, postal code, main occupation, e-mail, academic qualifications, experience as practitioner, and areas of expertise.

Further you can add your phone number, link to personal website, experience as an active athlete, and experience as a coach.

 

How do we use personal information?

1) Individual membership form:

The information from the individual membership form will be used in order to have an overview of our members (where they are from etc.). Further, the information will be used for communication purposes (e.g., monthly newsflash, FEPSAC newsletter). In case you have purchased access to the journal Psychology of Sport and Exercise, your username, first name, last name, and e-mail address will be sent to Elsevier.

2) Application for the FEPSAC Specialist in Applied Sport Psychology (SASP):

The information from the application for the FEPSAC certification for specialists in applied sport psychology (SASP) will be used to evaluate whether the applicant fulfils the certification criteria.

3) Registration in the list of experts (in case of accepted SASP):

The information provided in the registration in the list of experts will be published on our website. This gives potential clients (e.g., athletes, coaches) the possibility to look for certified practitioners.

 

What legal basis do we have for processing your personal data?

Whenever you provide us with personal information, we ask you to confirm your consent that we may process your data as outlined in this document. In case you decide to withdraw your consent at a later point in time, you can do so by sending us an e-mail at office@fepsac.com. We will then remove the provided information from our data base.

 

When do we share personal data?

We will treat all personal data confidentially. The data will only be shared with third parties for the following purposes:

1) The online-access to the journal Psychology of Sport and Exercise is provided by Elsevier. If you have purchased online access to the journal Psychology of Sport and Exercise, your username, first name, last name, and e-mail address will be sent to Elsevier.

2) We use the mail-program Mailchimp (www.mailchimp.com) to send the monthly newsflash that contains various information in relation to sport and exercise psychology (e.g., upcoming conferences, academic courses, or latest vacancies). For this reason, your first name, last name, and e-mail address is stored in the mailing list on the website. In case you do not want to receive the monthly newsflash, you can unsubscribe from it by clicking “unsubscribe” at the bottom of the newsflash. Your personal information will then be taken from the website.

3) In case you register for an event (e.g., a scientific congress) as a FEPSAC individual member, the event organizer might contact FEPSAC to verify your membership. In such an occasion, we will confirm this in the communication with the organizer (in case you are a member).

4) In case your application as a FEPSAC certified specialist in applied sport psychology is accepted, you can provide your personal information which will be published on our website.

 

Where do we store and process personal data?

We primarily store and process your personal data in the European Union (EU). If we do transfer your personal data outside the EU, it will be because you have consented to it or we have a legal reason to do so.

Some examples of reason your data may be processed outside the EU are:

  • Providing the online-access to Psychology of Sport and Exercise
  • Providing the monthly newsflash
  • Communication with an event organizer

In case your data are processed outside the EU, we will make sure that the third party provides an appropriate level of data privacy protection.

 

How do we secure personal data?

Your personal data is stored on a password secured computer to which only the FEPSAC office manager and the FEPSAC managing council have access.

 

How long do we keep your personal data for?

1) Individual membership form:

A FEPSAC individual membership expires at the end of a calendar year. If the membership is not prolonged two months after expiration, the data will be deleted from our database. You can re-register on our website in case you want to re-join FEPSAC at a later point in time.

2) Application for the FEPSAC Specialist in Applied Sport Psychology (SASP):

In case the application is successful, the submitted information will be kept as long as you hold the FEPSAC certification. In case the application is rejected, the submitted information will be stored until you have re-submitted your application. In case you inform us, that you will not re-submit an application, we will delete the submitted documents.

3) Registration in the list of experts (SASP):

The personal information will be stored as long as you hold the FEPSAC certification. The FEPSAC certification requires that you are a current individual FEPSAC member. In case you do not renew your membership at the beginning of the new calendar year, we will inform you that you are not entitled anymore to call yourself a FEPSAC certified practitioner. In case your membership expires, we will delete the information from our website.

 

Your rights in relation to personal data 

You have the right

  • to obtain all information regarding your stored personal data
  • to correct and delete any personal data that are stored in our data base
  • to withdraw your consent to this privacy notice (implying, that we will delete all personal data)
  • to request from us that we can keep your personal data in our data base but cannot transfer to a third party (e.g., Mailchimp)

You can exercise your rights by sending an e-mail to office@fepsac.com. Consequently, we will try to react to your request as soon as possible (normally within two weeks).
